Provide administrative support to assist the Head of Department /Course Superintendent/ Supervisors to ensure efficient and smooth operation of the Golf Course Maintenance office.
Coordinating inter-departmental meetings for Head of Department
Attending weekly/ monthly meetings, taking minutes and keeping notes/ records of meetings and events
Coordinating and compiling documents for circulation to the Greens Committee before committee meetings
To maintain a systematic and organised filing system for all documentations in the office including but not limited to:
o Processing Purchasing Documents like Purchase Work Requisitions (PWR)
o Purchases Orders (PO)
o Delivery Orders (DO)
o Invoices etc.
Arranging all permit/ license applications and/or renewals
Arranging internal and external events when required
Arranging and coordinating department functions when required
2. Inventory Control
Data Entry on issuing of stock and maintaining inventory levels
Coordinating month-end stock balance reports for Finance
3. Budget Control
To maintain department budget balances and records.
4. Department Staff Personnel Matters
Maintaining staff attendance records and work schedules
Compile and compute staff overtime claims for monthly submission to HR/ Finance
Compute staff roaster and daily attendance into the Club system
Processing of petty cash claims
Processing of medical claims
Issuing uniforms and maintaining inventory
Issuing office supplies and maintaining inventory
Maintaining ground staff personnel files and data
Coordinating staff transport arrangements when required
Collating weekly and monthly reports for Department meeting
Recording of minutes during Department meeting
Assist Head of Department/ Course Superintendent in data entry and presentation
6. Office Cleanliness and Office Equipment
Maintain office cleanliness and ensure office equipment are in good working order.
NITEC and above with prior administration experience required
IT literate with basic knowledge using MS Word, Excel and PowerPoint
Fluent written, spoken and reading capability in English and Mandarin to liaise with Mandarin speaking course maintenance staff
Highly motivated, independent but a team player with superiors, peers and reporting staff
Strong attention to detail; Independent, Meticulous and organised
Excellent communication skills with people at all levels
